How to use the time card calculator
Use it the same way for a time card, a timesheet or a time clock report: all you need are the times you clocked in and out.
- Type your clock-in and clock-out time for each day you worked, copied from your time clock, punch card or timesheet. Shortcuts like
9,830or5:30pwork; AM/PM is filled in for you. - Enter any unpaid break in minutes, for example 30 for a half-hour lunch. If you clock out for lunch instead, open Settings and choose 2 clock-ins per day.
- Optional: open Settings to add your hourly rate, switch to a biweekly period, turn on rounding or use 24-hour time.
- Read your totals in hours:minutes and decimal hours, then print, save as PDF, download a CSV or copy the summary.
How the hours are calculated
For each day: hours worked = clock-out − clock-in − unpaid breaks. With more than one clock-in, each in/out pair is added up. The days are then added up for each workweek.
Example: you clock in at 8:15 AM, out for lunch at 12:00 PM, back at 12:45 PM and out at 5:10 PM.
- Morning: 8:15 → 12:00 = 3 h 45 min
- Afternoon: 12:45 → 5:10 = 4 h 25 min
- Total: 8 h 10 min = 8:10, or 8.17 decimal hours (10 ÷ 60 = 0.17)
Calculating pay from your time card
Enter your hourly rate under Settings to turn payroll hours into gross pay: regular hours × rate + overtime hours × rate × 1.5. Pay is always worked out from decimal hours, so 7 hours 45 minutes counts as 7.75 hours, not 7.45. The summary shows the regular and overtime parts of your pay separately, so you can check them against your pay stub.
Overtime rules
Under the federal FLSA, most hourly (non-exempt) employees must be paid at least 1.5 times their regular rate for hours over 40 in a workweek. A workweek is any fixed, repeating 7-day period your employer sets, for example Sunday to Saturday.
Overtime is counted per workweek, not per pay period. If you work 45 hours one week and 35 the next, you are owed 5 hours of overtime, even though the two-week total is exactly 80. Minutes to decimal hours
Payroll systems usually want decimal hours. Divide minutes by 60:

Frequently asked questions
How do I calculate hours worked with a lunch break?
Subtract the clock-in time from the clock-out time, then subtract the unpaid lunch. For 8:00 AM to 4:30 PM with a 30-minute lunch: 8 h 30 min − 30 min = 8 hours. In the calculator, either type the lunch minutes in the Break column, or set "Clock-ins per day" to 2 and enter your lunch out and back in times. How do I add up a time card in hours and minutes?
Add the hours and the minutes separately, then turn every 60 minutes into 1 hour. For example 7:45 + 8:30 = 15 hours 75 minutes = 16:15. The calculator shows every total in hours:minutes and in decimal hours, so you can copy whichever your payroll needs.
How do I convert minutes to decimal hours for payroll?
Divide the minutes by 60. 15 minutes = 0.25, 30 minutes = 0.50, 45 minutes = 0.75, and 20 minutes = 0.33 (rounded). So 7 hours 20 minutes is 7.33 hours. Multiply decimal hours by the hourly rate to get pay. The minutes to decimal converter has a full chart for every minute.
Is overtime calculated per week or per pay period?
Under the federal Fair Labor Standards Act (FLSA), overtime is calculated per workweek: a fixed 7-day period. Hours over 40 in that workweek are paid at least 1.5 times the regular rate. You cannot average two weeks together, so 45 hours in week one and 35 in week two still means 5 overtime hours, even though the two-week total is 80. The calculator applies this automatically for biweekly time cards.
How do I calculate a biweekly (2-week) time card?
Choose "Biweekly (2 weeks)" under Pay period in Settings. You get 14 rows, split into two workweeks. The calculator totals each week separately for overtime and then adds them up for the pay period. The biweekly time card calculator starts with a 2-week grid.
Does the calculator handle night shifts that go past midnight?
Yes. If the clock-out time is earlier than the clock-in time, it is treated as the next day. 10:00 PM to 6:30 AM counts as 8 hours 30 minutes, and the day is marked "overnight".
How do I calculate pay from my time card?
Multiply regular hours by your hourly rate, then add overtime hours × rate × 1.5. Always use decimal hours, not hours:minutes. For example, 41 hours 30 minutes at $18/hour is 40 × $18 = $720 plus 1.5 × $18 × 1.5 = $40.50, so $760.50 gross pay. Enter your rate under Settings and the calculator shows gross pay with the regular and overtime parts.
Can I use this as a timesheet or time clock calculator?
Yes. A time card, timesheet and punch card all record the same thing: when you clocked in and out. Copy the times from your time clock, punch card or paper timesheet into the grid, and the calculator totals the hours for payroll.
How do I enter military (24-hour) time?
Open Settings and set Time format to 24-hour. Then type times like 0730 or 17:30. In 12-hour mode you can also type 24-hour values such as 17:30 and they are converted for you.
Can I clock in and out more than once a day?
Yes. Set "Clock-ins per day" to 2, 3 or 4 in Settings. Each pair of in and out times is added up for that day. This is useful for split shifts or when you clock out for lunch.
What is the 7-minute rule for rounding time?
Employers may round punch times to the nearest quarter hour if rounding is applied evenly. Minutes 1–7 round down and minutes 8–14 round up, so 8:07 becomes 8:00 and 8:08 becomes 8:15. Choose "Nearest 15 min" under Rounding to apply it.
Is my data saved or sent anywhere?
Your times are saved only in your own browser, so they are still there if you come back on the same device. Nothing is sent to our servers. Use "Clear all" to remove them.
